Caution: Spending in arrears is greater than it appears

The United States Census Bureau released a 2019 report based on data collected from their Annual Capital Expenditures Survey (ACES). The survey collects information on U.S. expenditures for new and used structures and equipment by all U.S. (nonfarm) businesses. It found that between 2008 and 2017, the total spending by these businesses increased 22.5%, rising over $300 billion from $1.37 trillion in 2008 to $1.68 trillion in 2017.

Nearly 1.7 trillion dollars annually is significant (to put it lightly)—and that’s just on structures and equipment. But how much money did it cost those businesses to spend that money?

Spend management isn’t simple, and with a TAM (total addressable market) in the trillions, countless companies are trying to simplify the mess of spend management for business.

Finding ways to control spending is critical, but many obstacles get in the way of making budgeting, or spend initiatives, effective. Frequently, these obstacles prevent spend management from doing its job, and a company’s finances can suffer because of it. On the other hand, not implementing a budget can be just as dangerous.

Here are three blind spots to keep an eye on:

  1. The age of your financial data

The most common spend management problem is using old data and expecting better results. Identifying useful expenses is difficult without real-time data. Traditional expense management works with spending information that’s at least a month old. You never know what the company is committed to paying for until a month after the fact, making it difficult to gauge the financial health of the business.

2. Employee spending habits

    Understanding spending habits are an important part of any spend initiative. But if you’re still stuck using old data, how can you expect to accurately track spending habits? Without help, you’ll spend a significant amount of time trying to make and track your budget, including time spent trying to:

      • Analyze spending habits.
      • Decide where you can cut spending.
      • Track and enforce new budgets.
      • Compile reports and analyze results.

    Without the right tools, this task requires a herculean effort, but the answers provide critical insights into the third blind spot—determining which costs you can cut.

    3. Costs you can cut

      Almost every business would agree they could tighten their business-belts and trim down spend. But how do you know what’s fat and what’s fiscally responsible? Without current data or the ability to effectively track spending habits, it’s almost impossible to tell.

      Cutting costs across the board isn’t as helpful as it sounds. Not every expense is something you can just get rid of. Taking an ax to expenses won’t necessarily solve your spend management problems, in fact, it may increase them. That said, you likely can’t stay within your budget without cutting something.
       

      Gaining visibility into your spend management “blind spots”

      The FinTech market is attracting attention from businesses of all sizes to tackle these cumbersome challenges. Fortunately, competition provides businesses with a number of viable options.       1. Approach  
        The problem with most banks is they have it all backward—bank first, software second. This creates an inherent disconnect between the solution and the challenges you’re trying to solve.       2. Functionality
        It’s easy to get lost in the weeds of features and functionality. If you’ve purchased a car recently, you know what I mean. Do we really need hand gesture controls while driving? So what’s important and what’s bloatware? Consider the depth and breadth of the functions and features of each solution. Are you looking to solve one problem or many? How important is having everything in one place versus logging into and managing several solutions? If the software you’re evaluating can’t do something, does it integrate with an application that can? Navigating these pros and cons can be a bit like parallel parking, but with some patience, you’ll get there.

      3. Price
        When it comes to comparing software, price is one area that’s all over the road. Is the pricing per user or a package deal? Do you get price incentives for paying for a period (typically annually) in advance? Is the payment structure scalable for the stage of your business? Can you validate your decision by showing a positive ROI? Is there a free solution? With all things pricing, it’s important to find a spend management solution that isn’t going to break the bank.

      4. Time
        The other side of the pricing conversation is time, because, as we all know, time is money. Will the new software streamline or suck your time? Will your processes be automated or still manual, but digitized? Can you cut headcount or shift employee responsibilities as a result of the switch? A good way to answer your time questions is to contact a current customer of the solution you’re considering.

      5. Vision
        Lastly, committing to a new spend management solution is a big decision. There are always costs in switching and/or adopting a new product. More than likely, it’s something your company will use for years. You’ll want to make sure you’re not stuck with a clunker. A good rule of thumb: past performance is the best indicator of future performance. What products or features has the company rolled out in the past 12 months? Were they successful? What’s on the product roadmap? What are their support ratings? What has been their adoption and retention rate? As you find answers to these questions, you’ll be able to determine quickly whether their eyes are on the road or if they’re driving distracted.

      Your foray into spend management doesn’t have to cause road rage, it can be informed and smart. Consider what your current blind spots are and what to keep in mind as you navigate toward greater visibility into your company’s spend management.
